We are the Live Oak Estates Homeowners Association (hereinafter, “Association”). Our website address is: https://www.liveoakestateshoa.com.
How we use your data
By registering, you agree that we can use your contact information to contact you about Association business, inform you about Association news and activities, to notify you of Association meetings in lieu of sending notice via postal mail, sending you texts or emails for 2-Factor authentication and any other legal purpose related to Association business.
Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
We will not sell or share your data with any third party other than those with whom the Association enters into agreements to provide services approved by the Association Board, such as the Property Management Company and service providers such as email providers through whom we contact you, and then only to the extent that it is required to provide the contracted services.
Who has access to your data?
Your data is stored on the Association’s website, currently hosted on a shared server owned by GoDaddy, and the website is managed by the Association’s webmaster. As is the case with all websites, privileged users such as the webmaster and the hosting company’s system administrators can access all data on the server. Association officers may also access your data solely for the purpose of conducting Association business.
How the Association protects your data
The Association protects your data by requiring strong passwords for all administrative accounts, using industry standard encryption (RSA 2048/AES 256) to protect data transfers and requiring the webmaster to comply with all terms of this privacy policy.
Many breaches occur because system administrators fail to update software that contains known vulnerabilities. The Association regularly updates the software used on the site to ensure that the latest security measures are installed.
If, despite these measures, the Association learns of a data breach, we will notify users as quickly as possible and take measures to prevent the same exploit from being used again.
Where your data is sent
Your data is not sent to third parties except as disclosed above in “Who we share your data with”.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Click ‘Account’ in the menu to see and change your information Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can delete your account. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Polls
When users vote in polls on the site we collect the user’s vote(s) and user id for the purpose determining the users’ preferences in matters pertaining to the Association, and also the visitor’s IP address and browser user agent string to help spam detection. Vote data is anonymously aggregated and analyzed for this purpose, but individual users’ votes are not shared with any party.
Comments
When users leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
Forum Posts
When users submit blog posts, the post will identify the author’s name. This information will be visible to everyone.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
